Using Data Replicator II

Select server

Before making data backups or restorations, you should follow the steps to select a target server:

  1. If you use Synology Data Replicator II for the first time, it will search for available server, if not, click <Browse>.
  2. Select the target server
  3. Click <Next>
  4. Input the username and password oo the target server, or choose "guest" to login.
  5. Click <Next>
  6. Select the target shared folder
  7. Click <Finish>

Note: For Windows 98 users, the PC login name and password should be the same with the entered data in step 4.


Backup

For Windows 2000, Windows 2003, and Windows XP users to back up all files successfully, Synology Data Replicator II will try to map network drives for backup, and will at most use four drive letters on your PC. For Windows 95, Windows 98, and Windows ME users, Synology Data Replicator II will copy files to the target server directly.

It provides 3 backup options:

Immediate Backup

This function allows you to backup all files in the selected folders to the server. We suggest that you use this option for any new backup task. Follow the steps to proceed:

  1. Click <Backup> at the left
  2. Select the folders you want to backup
  3. Click <Immediate Backup>
  4. Click <Done> when the backup is finished

Synchronization

Use this function to monitor the selected folders; any changes made to the files in the selected folder will be backed up to the target server. Follow the steps to proceed:

Start Synchronization

  1. Click <Backup> at the left
  2. Select the folders you want to backup
  3. Click <Synchronization>. You can now click "X" in the right-top corner of the program to minimize it to the system tray.

Stop Synchronization

If you want to stop Synchronization when Synology Data Replicator II is in the monitoring mode of Synchronization, please do the following steps:
  1. If the program is minimized to the system tray, double-click the program icon to open it.
  2. Click <Backup> at the left
  3. Click <Stop Synchronization>

Schedule Backup

Use this function to backup all files in the selected folders at the specified time. Follow the steps to proceed:

Set Schedule

  1. Click <Backup> at the left
  2. Select the folders you want to backup
  3. Click <Schedule Backup>
  4. Set the backup schedule
  5. Click <OK>
  6. For users running Windows 2000, Windows XP, or Windows Vista, if you need to perform Schedule Backup when logging off Windows, please enter your password and click <OK>. If you wish Schedule Backup performs only when logging in Windows, please click <Skip>. For Windows 98 and Windows ME users, Schedule Backup will be performed in both situation. Please ignore this step.
When the setting is complete, you can exit Synology Data Replicator II or minimize the program window to the system tray. Synology Data Replicator II will perform Schedule Backup automatically when the time is up.

Delete Schedule

  1. Click <Backup> at the left
  2. Click <Delete Schedule>

Backup Outlook/Outlook Express/Windows Mail/address book Files

Use this function to backup your Outlook, Outlook Express, or Windows Mail files, including mail and address book.

  1. Click <Backup> at the left
  2. Check the "Outlook and Outlook Express Files" option
  3. Click <Immediate Backup> or <Schedule Backup>

Your files will be saved in the sub-folder in the following path on the server:

DR2-PC_name-PC_account\backup_time\drive_name

Note:

To back up Outlook Express/Outlook/Windows Mail,

     Only Immediate Backup and Schedule Backup are supported.

To back up Outlook/Windows Mail when it's running,
  1. Only Immediate Backup and Schedule Backup are supported.
  2. If you're running Windows XP, Windows 2003, or Windows Vista,
  3. If you're running operating systems other than Windows XP and Windows 2003, please close Outlook before back up Outlook.

Support and limitations:

  1. When searching for target server, Synology Data Replicator II will use port 9999, or 9998, or 9997.
  2. Compressed files and encrypted files will become regular files after backup. The file property will be erased.
  3. For filename length, Synology Data Replicator II supports up to 240 bytes.
  4. If you change the computer name of your PC, you must enter the admin login password of your PC when setting Schedule Backup to assure Data Replicator II performs correctly. If you have already set a backup schedule, delete that schedule and use the admin login password of your PC to set a new one again.

Restore

Synology Data Replicator II provides 2 restore options:

Restore by Browsing

If you are sure of the location of the files you want to restore, you can use this option. Follow the steps to proceed:

  1. Click <Restore> at the left
  2. Click <Start> under the "Restore by Browsing" item
  3. Click <Next>
  4. Choose the data source you want to restore
  5. Click <Next>
  6. Choose if you want to browse the files by version or by restore point
  7. Select the files and folders you want to restore
  8. Click <Next>
  9. Specify the target path
  10. Click <Finish>

Restore by Searching

If you are not sure of the location of the files you want to restore, or you only want to restore files with certain keyword, you can use this option. Follow the steps to proceed:

  1. Click <Restore> at the left
  2. Click <Start> under the "Restore by Searching" item
  3. Click <Next>
  4. Choose the data source you want to restore
  5. Click <Next>
  6. Type the keyword you want to search in the "Keyword:" text field
  7. Choose the backup time from the "Backups:" drop-down menu
  8. Click <Search>
  9. Select the files and folders you want to restore in the right
  10. Click <Next>
  11. Specify the target path
  12. Click <Finish>

Restore Outlook/Outlook Express/Windows Mail Files

When you restore Outlook/Outlook Express/Windows Mail files, you can choose to restore to the Original path or to the New path:

  1. Original path: by choosing this option, you don't need to manually import mail and address book, PC data will be replaced by the restored files.
  2. New path: by choosing this option, you can restore the data to a specified path, and manually import mail and address book with Outlook/Outlook Express/Windows Mail.

Option

Filter

Use this function to exclude files with certain prefix or extension from the backup list. Follow the steps to proceed:

  1. Click <Option> at the left
  2. Click <Filter>
  3. Click <Add> in the right of the "Extension" or "Prefix" option
  4. Enter specified criterion, for example, ".exe" for extension or "~" for prefix.
  5. Click <OK> to close the setup dialogue
  6. Click <OK> to finish

Version

Version

Each time of the files are backed up to server successfully, there will be a version of backup files. If those files on PC have not been revised since the backup, there will be only one version of backup files no matter how many times they have been backed up, and it will be stored in the "latest" folder. However, if those files on PC have been modified after the backup, the previous backup file will become an older version, and will be moved to the "past" folder. The modified files on PC will be backed up as the latest version, and stored in the "latest" folder.

Number of versions

Number of versions defines how many versions of backup files of one file on PC the server will keep in the "latest" and "past" folders, when using one account and one specified shared folder to back up. For example, if the number of versions is set to 3, then there will be one latest backup file, say A.txt, in the "latest" folder, and two older versions of backup files, say A.v00 and A.v01, in the "past" folder. The smaller the version number is, the older it is.

Note:

When the number of versions is set to 1, there will always be one version of backup files on server, and will be restored in the "latest" folder. There will not be any file in the "past" folder.

Use this function to define the maximum number of file versions. New file version will be saved in the server upon file changes after the previous backup. Follow the steps to proceed:

  1. Click <Option> at the left
  2. Set the version number
  3. Click <Apply>

Restore point

Restore point

Each time of the backup, Data Replicator II will create a folder named by the time when the backup start. This folder is a restore point, and each restore point will contain all files of the backup. Even though files on PC haven't been modified after the first time backup, Data Replicator II will still keep the files in every restore point, but will only take as one file when counting disk size.

Number of restore points

Number of restore points defines how many restore points there will be on server, when using one account and one specified shared folder to back up. When the restore points exceeds the number you set, Data Replicator II will delete the oldest restore point on server after backup.

Use this function to define the number of restore points that should be saved on server. Data backed up by using "Immediate Backup", "Schedule Backup", or "Synchronization" will be granted a restore point at the backup time for future restoration use. In the future you can restore files at the status of the specified restore point. Follow the steps to proceed:

  1. Click <Option> at the left
  2. Set the restore point number
  3. Click <Apply>

Note:

  1. Restore point function is supported only on Windows 2000 / Windows XP / Windows 2003 / Windows Vista.
  2. Although different directories are created on server according to restore points, same files crossing different restore points are short-cuts. Therefore, there is only one copy of the file on the disk and the short-cuts do not take redundant disk space.

Auto-Start when Logon

You can set to start Synology Data Replicator II automatically when you login Windows. Follow the steps to proceed:

  1. Check the <Auto-start Data Replicator II on Windows Startup> checkbox
  2. Click <Apply>

Verify validity of the backup files

You can set to verify if the backed up file on server is identical to the file on PC during backup. Follow the steps to proceed:

  1. Check the <Verify validity of the backup files> checkbox
  2. Click <Apply>

Keep identical files on target server

When performing a backup operation, you can keep files in the "latest" folder on the target server to be identical to the ones on your local computer. For example, when you back up Folder A with file <B.txt> on your computer, <B.txt> will be backed up to the target server. However, if the file <B.txt> in folder A on your local computer has been deleted before next backup, then file <B.txt> in the "latest" folder on the target server will also be deleted. In this way, folder A in the "latest" folder will be identical to folder A on the local computer. Follow the steps to set up:

  1. Check the <When local files are deleted, delete the opposite backup files at the same time.> checkbox
  2. Click <Apply>

Log

The maximum log file is 512KB; when the log file reaches the limit, the oldest 128KB will be removed.

Save Log

  1. Click <Log> at the left
  2. Click <Save>
  3. Choose the target path
  4. Click <Save> to finish

Clear Log

  1. Click <Log> at the left
  2. Click <Clear>
  3. Click <Yes> on the confirmation dialogue
